In any company, tracking
employee attendance is a crucial administrative function.
However, the larger the company, the more time, and effort
this involves. Databases need to be compiled for attendance
to ensure that employees are properly paid for time taken
off, but also to have an accurate and reliable record should
the need arise in which the termination or probation of an
employee is needed because of attendance issues.
One of the best ways to track attendance is automating the
clock-in and clock-out function of your procedure. Employees
are given a card to swipe or a code to enter on a computer,
which is only accessible on-site. When the employee arrives
at work, they can either swipe the card or enter their PIN,
this procedure is also done when they depart. Some
organizations have a two-fold procedure, the employee
"punches-in" upon their arrival and also when they log onto
their company computer.
Preventing Fraud with Time and Attendance Software:
More sophisticated software can notify employers immediately
if employees clock-in or clock-out, outside of what is
consider the acceptable timeframe for the hours that
particular employee is to work. An example of this would be
an employee who clocks in early on an automated systems,
assuming they will be paid for the additional hours without
anyone making note of their time of arrival. However,
instead of going to their desk and doing work, the employee
socializes with coworkers or does their personal business.
The more advanced automated attendance tracking software can
be programmed to not permit early clock-ins or to notify
managers/ supervisors of early clock-ins. Likewise, the
software can be programmed to prohibit unscheduled overtime,
unless it is authorized. This reduces the amount of
unnecessary overtime, and unanticipated budget crisis due to
payroll. Some automated attendance software can be
programmed you're your employee's work schedule directly to
your payroll processing software, which records any
additional hours your employees work.
